Relaunch of the PR software on a new technological basis with AI support and PressFile AI.base
Even simpler and more transparent, with a new AI-based press contact database, AI support, and an optimized user interface: The 4th generation of PressFile PR software has been completely redeveloped based on current technologies, preparing it for future requirements in PR management. The proven user guidance and data model were largely adopted from the previous version. However, the user interface itself has been changed and optimized in numerous places to further simplify usability. New security features such as login via two-factor authentication or Passkey are also included, as are many new convenience functions such as an optional dark mode or direct telephony connection. The new development was implemented with the long-standing IT partner Admin Intelligence from Ulm, who has also been an official PressFile development partner since 2026.
PressFile AI.base: Find new press contacts in compliance with GDPR
Completely new is the AI-based contact database PressFile AI.base. It starts with approximately 45,000 press contacts from nearly 5,000 publications in Germany, Austria, Switzerland, and other countries. In addition, there are currently more than 2,700 publishers. The press contacts were researched with AI support in compliance with GDPR and are stored in the separate AI.base database. Only PressFile users who have booked this option have access to it. Like PressFile, AI.base is hosted and secured in a private cloud in Germany – also against direct access by AI models from various providers.
New press contacts can be found specifically using keywords and, after sorting and selection, can be directly imported into your own PressFile. The contacts are either assigned to existing press distribution lists or new distribution lists are automatically created during import. The database is constantly expanded and updated via AI queries and enrichment processes. Further target media and their associated contacts from all over the world can be found at any time via a separate research query, with the PressFile team ensuring, through editorial control and quality assurance, that only relevant new contacts are added to PressFile AI.base.
AI.Assist for News
Also new is the AI check for news texts: Before a message is published in the PressFile or individual newsroom, PressFile now offers the option to check the tonality – for example, whether the text meets journalistic standards or is too promotional. In addition, there is the possibility to automatically revise the text accordingly and give it a more journalistic character, formulate it more formally or concisely, or even rewrite it in ‘plain language’.
Chatbot also for individual customer requirements
The new PressFile Chatbot replaces the classic online manual: users can have individual functions explained to them in a dialogue via natural language queries. In addition, it is possible to store further individual specifications for each customer, which only the users of the respective PressFile client account have access to. In this way, company-specific process requirements can also be integrated. The email and news client now also work with AI support, which can be used to check and revise texts for spelling and style.
Easy self-administration
With PressFile Gen4, the administration environment is no longer separate from the application environment but is accessed directly from within the application. This allows authorized employees to make adjustments at any time, create new projects and keywords, change the assignment of drop-down selections, or customize table views. The changes are immediately visible and usable for all users within the client account.
Integration of ots/news aktuell, Media Library and PressFile Newsroom
PressFile Gen4 also continues to support the use of partner offerings such as the ots press information distribution service from dpa subsidiary news aktuell. In addition, the interface to the PressFile Newsroom and the clipping management with the AMID PR media library has been standardized. Both offerings are based on the M@RS media asset system from PressFile partner media-mid from Vienna. The use of the PressFile Newsroom, where all elements of a news item such as text, images, documents, or contact persons can be uploaded as a combined news object in a PressFile workflow, is free for PressFile users. Own newsrooms or the connection of clipping management can be optionally added.
The solution, originally developed for the New York Public Library, was regionalized for the German-speaking market 25 years ago with the support of the PR agency Press’n’Relations. In 2009, the Ulm-based agency founded a joint venture with the American manufacturer and took over responsibility for the further development of the web-based solution with the development of the 3rd PressFile generation. Since 2025, all shares have been held by the Ulm parent company and the German founder.
In addition to numerous PR agencies, PressFile has convinced many press offices of renowned companies and institutions in Germany, Austria, and Switzerland of its solution, including Ziehl-Abegg, Trianel, NetCologne, and Dr. Babor.
