Write the text, attach a Word document, and hit send. However, this principle has reached its limits, and not just recently. Anyone sending Word files to editorial offices risks their message never reaching the inbox.   <\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-spam-filter-blockieren-word-anhange\"><br\/>Spam Filters Block Word Attachments<\/h2>\n\n<p>The numbers speak for themselves: according to the Spam and Phishing Report from security firm Kaspersky, nearly every second email in global traffic was spam in 2025. In total, over 144 million harmful and potentially unwanted email attachments were blocked, representing a 15% increase compared to the previous year. Consequently, spam filters have become highly sensitive and frequently evaluate file attachments as potential risk factors. Word documents are also affected, as Office formats have been abused for years to spread malware, leading many filters to automatically classify them as potentially dangerous. Even a single Word attachment can negatively impact delivery rates and cause an email to land in the spam folder before journalists even see it.    <\/p>\n\n<p>For PR agencies and press departments, this means that a press release that is carefully drafted and sent to dozens of editorial offices ends up unread in the spam folder en masse.<\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-ein-umweg-uber-die-cloud-lost-das-problem-nicht\"><br\/>Using the Cloud Does Not Solve the Problem<\/h2>\n\n<p>It might seem logical to store the document in the cloud and send the link. Dropbox and Google Drive sound practical. However, it becomes problematic when long, cryptic-looking URLs are generated or when the link runs through a domain that does not match the sender organization. Such configurations can negatively influence the assessment by spam filters, especially if additional risk factors are present. Even supposedly secure direct download links are sometimes viewed critically, as they are not always transparent to the recipient regarding where they lead. Furthermore, such a link leads nowhere as soon as the file is moved or deleted.     <\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-was-wirklich-funktioniert\"><br\/>What Actually Works<\/h2>\n\n<p>The simplest and most reliable method is to include the entire press release directly in the body of the email. For journalists, this is the most convenient option anyway: the text is immediately readable and can be processed via copy-and-paste in seconds. The original advantage of Word documents lay precisely in this ease of processing. The text could be copied directly, whereas in the past, PDFs often could not be opened without specific software, and copying text frequently failed due to umlauts or hyphens. However, with increasing security requirements, this advantage is increasingly losing its significance.    <\/p>\n\n<p>A PDF link is also not a secure alternative, as these links are increasingly viewed critically by spam filters because they are regularly abused for phishing attacks. This also applies to image attachments, which, as large files, not only increase the spam score but must often be limited to one or two motifs due to file size limits. Therefore, a reference to a central, permanently maintained page is recommended. Such links appear more trustworthy and are easier for spam filters to categorize. At the same time, recipients retain control over which content they access. The most secure solution is therefore a central newsroom that bundles all content permanently and makes it accessible via a clearly recognizable, trustworthy link.     <\/p>\n\n<p>The decisive factor, however, is that spam filters are becoming stricter and time in editorial offices is becoming scarcer. Those who provide their press releases directly in the email text, clearly structured and with all necessary information, increase the delivery rate and reduce the effort for recipients. A central newsroom complements this approach by bundling all content permanently and making it easily accessible.
